SIVIL TECHNOLOGIES, INC. — Police Department Feedback Directory

This Privacy Policy describes how Sivil Technologies, Inc. (“Sivil Technologies,” “we,” “us,” “our”) collects, uses, and shares information in connection with the Police Department Feedback Directory available at depts.sivilco.com (the “Directory”). The Directory helps members of the public find law enforcement agencies and submit compliments and complaints about them. By using the Directory, you consent to the collection, use, and sharing of your information as described in this Privacy Policy. This Privacy Policy is specific to the Directory; Sivil Technologies’ other products and services are governed by the Privacy Policy available at sivilco.com.

1. Information We Collect

a. Information You Provide Through Our Forms. The Directory lets you send feedback to a law enforcement agency and submit feedback about the Directory itself. When you use the “Send Email to Police Department” feature, you may choose to provide your full name, email address, phone number, and a brief summary of an incident. All of these fields are optional. When you submit the Directory Feedback Form, we collect the information you choose to enter, which is processed through a third-party form provider.

b. Information About Your Computer and Device. We automatically collect technical information from the devices and networks you use to access the Directory, such as your internet protocol (“IP”) address, your operating system, your web browser type and configuration, and the name of your internet service provider. When you arrive at or leave the Directory by clicking a hyperlink, we may automatically receive referring URL information.

c. Date, Time, and Usage Information. We collect and store information about the date and time you access the Directory, the pages and links you use, and the searches you perform. This includes click activity — for example, when you click through from a department’s profile to that department’s own website or filing page, we record that the click occurred so we can measure how the Directory is used.

d. Cookies and Similar Technologies. We and our service providers use cookies and similar technologies to operate the Directory, remember your preferences, keep the Directory secure, and measure how it is used. You can control cookies through your browser settings, but disabling them may make parts of the Directory inoperable. Third-party services may also place cookies through the Directory, and we are not responsible for third parties’ use of cookies.

2. How We Use the Information We Collect

a. To Deliver Your Feedback. The primary purpose of the Send Email feature is to deliver your message to a law enforcement agency. If you provide your name, email address, phone number, or incident summary, that information is included in the email we send to the agency on your behalf so the agency can identify and, if appropriate, respond to your feedback.

b. To Operate and Improve the Directory. We use technical, usage, and click information to maintain the security of the Directory, prevent fraud and abuse, understand how the Directory is used, and improve our content and features.

c. To Communicate With You. If you contact us, we use the information you provide to respond to your question or request.

d. Legal Requirements and Similar Matters. In our sole discretion, we may access, use, preserve, and disclose any information you provide in order to: (i) comply with any law, regulation, governmental order, court order, or subpoena, or to otherwise comply with our legal obligations; (ii) enforce our Terms and this Privacy Policy; (iii) investigate, prevent, or take action regarding suspected or actual illegal activities; (iv) investigate and defend ourselves against any third-party claims or allegations; (v) protect the security and integrity of the Directory, detect and prevent fraud, and address technical issues; or (vi) exercise or protect the rights, property, or safety of Sivil Technologies, our users, and others.

3. How We Share Information

a. With Law Enforcement Agencies. The Directory is designed to transmit your feedback to law enforcement agencies. Any contact information and incident details you choose to provide through the Send Email feature will be shared with the agency you select.

PLEASE BE AWARE: COMMUNICATIONS SENT TO A PUBLIC LAW ENFORCEMENT AGENCY MAY BECOME SUBJECT TO PUBLIC RECORDS LAWS, WHICH MEANS THE AGENCY MAY BE LEGALLY REQUIRED TO DISCLOSE YOUR MESSAGE — INCLUDING ANY CONTACT INFORMATION YOU PROVIDED — IN CERTAIN CIRCUMSTANCES. WE ASSUME NO CONTROL OR RESPONSIBILITY FOR HOW A LAW ENFORCEMENT AGENCY USES OR DISCLOSES INFORMATION YOU SEND THROUGH THE DIRECTORY.

b. With Service Providers. We use third-party service providers (subprocessors) to operate and improve the Directory — for example, to host the website, deliver email, protect our forms from spam and abuse, collect responses to the Directory Feedback Form, and measure site usage. These providers may have access to information as necessary to perform their functions, and we ensure they are bound by contractual agreements that include appropriate data protection provisions.

c. With Your Consent or Request. We may share your information with your consent or in connection with your reasonable request.

d. Change in Control. If we elect to purchase business assets or another company, or any part of either, or if we choose to sell our business assets or the company or any part of either, then we may share your information with the third-party purchaser or third-party seller. Any such third party will have the right to continue to use your information subject to this Privacy Policy.

4. Third-Party Services

This Privacy Policy does not apply to third-party services, websites, applications, or providers that we do not own or control. The Directory relies on third-party services, including reCAPTCHA (provided by Google) to protect our forms from spam and abuse, Google analytics tools to measure site usage, and a third-party form provider for the Directory Feedback Form. The Directory also links out to the websites of law enforcement agencies and other third parties. We do not take responsibility for the content or privacy practices of any third parties, and you use third-party services at your own risk and subject to their terms of use and privacy policies.

5. Data Retention

We retain the information you provide for as long as needed to deliver your feedback, operate the Directory, and fulfill the purposes described in this Privacy Policy. We may keep certain information longer if necessary to comply with our legal obligations, meet regulatory requirements, resolve disputes, prevent fraud and abuse, or enforce this Privacy Policy or our Terms. Records of emails sent through the Directory and of click activity may be retained to maintain the integrity of the Directory and for reporting and analysis. Information you send to a law enforcement agency may be retained by that agency indefinitely and may become a public record outside our control.

6. Your Rights to Access, Correct, or Delete Your Information

You may request to access, correct, or delete information you have provided to us by contacting us at hello@sivilco.com. Please note that information you have already sent to a law enforcement agency through the Directory may remain with that agency and may not be within our control to correct or delete.

7. Security; Data Breaches

We take privacy and security very seriously and have implemented security safeguards designed to protect your information in accordance with industry standards. However, the internet is not a 100% secure environment, and we cannot ensure or warrant the security of any information that you transmit to us. Please note that email is not encrypted, and we strongly advise you not to communicate confidential information through it. If we experience a data breach that results in unauthorized access to your personal information, we will promptly investigate the event, notify you as required by applicable law, and take any additional steps required by applicable law. 8. Privacy of Minors

The Directory is intended for individuals who are at least fourteen (14) years old. We do not intend to collect information from individuals who are thirteen (13) years or younger. If you believe that a minor who is thirteen (13) years or younger has provided personal information to us, please contact us at hello@sivilco.com. We encourage parents and legal guardians to monitor their children’s online activity for safety purposes.

9. California’s Shine the Light Law

California Civil Code Section 1798.83-1798.84, known as the “Shine The Light” law, permits our users who are California residents to request and obtain a list of what personal information (if any) we disclosed to third parties for direct marketing purposes in the preceding calendar year and the names and addresses of those third parties. We currently do not share any personal information with third parties for their direct marketing purposes. However, if you are a California resident and would like a copy of an annual “Shine The Light” notice, then please submit a written request to Sivil Technologies, Inc., c/o Corporation Service Company, 251 Little Falls Drive, Wilmington, DE 19808.

10. Data Processing Outside Your Country

We may collect, transfer, store, process, and/or analyze your information outside the country where you live. By using the Directory, you agree that we may collect, store, process, and analyze your information outside your country of residence.

11. Phishing Warning

We will never email or text you to ask for sensitive personal or financial information. Please be vigilant with respect to emails or messages that claim to be from Sivil Technologies and refer to suspicious activity, describe a problem with your information, include an invoice or a link to make a payment, or request other sensitive information. Such communications may be phishing attempts. Before replying to any such communication or clicking on any links or attachments, you can verify the communication is actually from us by contacting hello@sivilco.com.

12. Changes to This Privacy Policy

We, in our sole and absolute discretion, may modify this Privacy Policy from time to time. We will notify users of any material changes by reasonable means, such as by posting the updated version on the Directory. Unless stated otherwise, our current Privacy Policy applies to all information that we have about you. Using the Directory after a notice of changes has been communicated or published shall constitute consent to the changed terms or practices.
